 Graduate Student Travel Awards

Award Definition and Policy Statement

Graduate student travel awards are available to assist graduate students with travel fares to conferences or other professional meetings to present a paper or serve as an invited speaker.  Funds may be used for airfare or fares supporting alternative modes of transportation.  Individual awards are limited to one per fiscal year.[1]  Priority will be given to PhD and research Master’s students.  Maximum award amounts are:

  • $300 domestic
  • $500 international

A restricted amount of funding is available each fiscal quarter[2] to support graduate student travel within the quarter.  Funding will be approved on a first-come-first-served basis with adjustments to maintain equity in the process.   Requests may be submitted at any time for any date during the fiscal year.  Once the funds for any quarter have been fully committed, the request system will be closed and will open again for that quarter only if cancellations are entered or unused funds from a preceding quarter are carried forward.

Submitting a Request

Travel requests must be submitted by authorized departmental personnel using MyGradProgram.  Students wishing to request travel awards should contact their unit financial administrators for instructions and internal policies for their departments.  The system will be open for submission of requests until all funds are awarded.

Accessing Awards

The award approval process in MyGradProgram will generate an e-mail message to the student, the department GSFEI contact and the requestor.  Award amounts are authorized to be spent from departmental GSF-RSA budgets (75-XXXX).  No actual transfer of funds will occur.  MyGradProgram provides documentation of award amounts.  All travel arrangements will be handled by departmental personnel.  Students should contact their departmental financial administrators for instructions for accessing their awards. 


[1] The University fiscal year is July 1 through June 30th.

[2] Fiscal quarters are July – September, October – December, January – March and April – June.
