  The attached documents provide instructions and information on two payroll changes that have been established in HEPPS:

New earn type for work above the standard 220 hours per quarter

Service expectancy explanation

1) New earn type, Excess Workload Compensation EWC, has been created. It is to be used in conjunction with academic student employee (ASE) job codes established under the UW/UAW contract. The EWC document also provides information on the calculation of additional FTE for academic student employees when it becomes necessary to increase their FTE to achieve a certain number of hours available for assigned work during an academic quarter.

2) Descriptions for 3 new non-service graduate appointee job codes:

0830 Academic Research Appointee (ARA)

0831 Rotation Research Appointee (RRA)

0832 Top Scholar Research Appointee (TSRA)

Descriptions for the above non-service job codes are provided in Attachment B to the Service Expectancy document (attached) along with already existing non-service job codes for graduate appointees (0860, 0861, 0863 and 0864). Descriptions for UAW Local 4121 ASE job codes are provided in Attachment A to this document. The Service Expectancy and ASE Determination document is intended as a guide for classifying students into the correct service or non-service job codes.

Unlike the existing ASE codes, the new appointee codes are established in HEPPS as a range. Units may input any appropriate salary within the range rather than inputting a step as is necessary with the existing ASE codes. A student appointed in one of the new job codes should receive a salary equal to what s/he would qualify for if appointed to an ASE code in the appointing unit. (For instance, if the unit has 3 ASE appointment levels (Entry, PDRA 1 and PDRA 2) the salary of an individual appointed as an 0830 ARA should be paid equal to his or her status as an ASE. If the individual is a doctoral candidate and qualifies for the PDRA 2 level in the department, s/he should be appointed at the PDRA 2 rate as an ARA.)
